This Privacy Policy informs you how e-voilà (the company operating the OrderVize SaaS solution) collects, uses, and protects the personal data you may provide when using the website ordervize.com and our services.
We are committed to complying with applicable European regulations, specifically Regulation (EU) 2016/679 (General Data Protection Regulation – GDPR). Although our headquarters are in Poland, we pay particular attention to respecting the rights of our European clients.
1. Identity of the Data Controller

2. Data Collected and Processed
We collect different categories of data depending on your usage:
- Client Data (You): Name, company name, email address, phone number, login credentials. This data is necessary to create your account.
- Billing Data: Billing address, VAT number. Important Note: Credit card information is processed exclusively and securely by our partner Stripe. It is never stored on our servers.
- Usage Data (OrderVize Service): As a management tool, OrderVize processes data you connect: order details, information about your end customers (names, shipping addresses), and transport data.
- Third-Party Integration Data: If you connect external services (Zoho, WooCommerce, Shopify, Vivino, Mirakl, Metro, MBE Online), we process data exchanged with these platforms to execute the service (e.g., importing orders, sending billing data to Zoho).
3. Purposes and Legal Basis
We use your data for the following purposes:
- Contract Performance (Art. 6.1.b GDPR): Providing the SaaS service, managing your account, technical support, and processing your orders.
- Legal Obligations (Art. 6.1.c GDPR): Billing management, accounting, and tax data retention.
- Legitimate Interest (Art. 6.1.f GDPR): Service improvement, site security, anonymous statistics.
Controller vs. Processor Distinction: For your own customers’ data (end buyers) that you process via OrderVize, you are the Data Controller and e-voilà acts as the Data Processor. We process this data only on your instructions to provide the service.
4. Data Recipients
Your data is strictly confidential. It may be transmitted to the following recipients:
- Internal e-voilà Staff: Technical and administrative teams.
- Hosting Provider: Hostinger (Servers located in the EU).
- Payment: Stripe (for secure credit card processing).
- Integrations (upon your action): If you activate an integration (e.g., Zoho for invoicing, MBE for transport), necessary data flows to these partners.
We never sell your data to third parties.
5. Transfers Outside the EU
Your data is hosted primarily within the European Union. If a sub-processor or partner (e.g., Zoho, Shopify) transfers data outside the EU, e-voilà ensures that this transfer is covered by appropriate safeguards (Standard Contractual Clauses or Adequacy Decision), in accordance with the GDPR.
6. Retention Periods
- Account Data: Retained as long as the account is active, then archived for 5 years after the end of the business relationship (legal prescription).
- Billing Data: 10 years (accounting obligation).
- Order/Client Data: Retained as long as you use the service to allow you access to your history. In case of account closure, they are deleted after a security period (90 days) unless an immediate deletion is requested.
7. Security
The website and application use the encrypted HTTPS/SSL protocol. Access to your data is protected by authentication.
8. Your Rights
In accordance with the GDPR, you have the following rights: access, rectification, erasure, restriction, objection, and portability.
